How to insert a countdown timer in Gmail

Most countdown timer guides assume you're sending through Mailchimp or Klaviyo. But plenty of people want a timer in an email they're writing in plain Gmail: a founder announcing early-bird pricing, a consultant closing a workshop, a small shop emailing its regulars.

Good news: you can insert a countdown timer in Gmail without any add-ons. It just takes one trick most people don't know about, plus a clear idea of where Gmail's limits are.

How a countdown timer works inside Gmail

Gmail won't run code inside an email. No email client will. So a countdown timer is really an image, hosted on a timer service's server.

When your recipient opens the email, Gmail requests that image, the server works out how much time is left right then, draws it, and sends it back. Open it again tomorrow and the image is redrawn with a day less. As long as the email points to the image's web address rather than a copy of the file, it stays current.

That last part is the whole trick. If you download the timer image and attach it, you've just sent a photo of a clock.

Step 1: Create the timer and grab its image URL

  1. Choose a Standard timer, which counts down to one deadline for everyone.
  2. Set the deadline and its timezone.
  3. Style the digits and labels, and set what the timer shows after the deadline.
  4. Copy the embed code, then pull out the image address: the URL inside src="...", ending in .png. Also note the link address inside href="...".

You'll use those two addresses separately in Gmail.

Step 2: Insert the countdown timer in Gmail by URL

In Gmail on the web:

  1. Open a new message and click where the timer should appear.
  2. Click the Insert photo icon in the toolbar at the bottom of the compose window.
  3. Choose the Web address (URL) tab.
  4. Paste the timer's image URL. Gmail shows a preview once it finds the image.
  5. Click Insert.

To make the timer clickable, select the image, click the link icon, and paste the link address from Step 1 (or your own sale page).

Always inserting by URL rather than uploading is what keeps the timer live. If Gmail's menu on your account looks different, the goal is the same: the image has to point to the timer service, not to a file on your computer.

Step 3: Test it properly

Send the email to yourself. Open it, note the time shown, wait a few minutes, and open it again. The numbers should have changed. If they haven't, the image was probably uploaded instead of linked, so go back and insert it by URL.

Check it on your phone too. Gmail's app handles timer images without any trouble, but a timer that's too wide can shrink to something unreadable.

A note on Gmail's image proxy

Gmail doesn't load images straight from the source. It fetches them through Google's own servers, partly for privacy and security. For countdown timers this is mostly invisible: the timer service tells Google not to store an old copy, so each open gets a fresh image.

Occasionally, if someone reopens an email within seconds, they may see the same image again. Nobody notices a timer that's a few seconds behind. It's worth knowing about, though, if a colleague swears the timer "didn't update."

Where Gmail stops being the right tool

Inserting a countdown timer in Gmail works well for personal sends and small lists. It gets awkward fast beyond that.

Personal Gmail accounts cap how many recipients you can email per day (around 500), and blasting a promotion from your inbox is a good way to get flagged. You also can't personalize anything. Everyone gets the same timer to the same deadline.

If you're emailing a real list, move the same timer into an email platform like Mailchimp, Klaviyo, Brevo, or Kit. Making the timer look like it belongs

A timer in a plain Gmail message stands out more than one in a designed template, so keep it tidy. Match the colors to your logo or website. Keep the width modest, around 400–500 pixels, because a personal-looking email with a giant banner feels like marketing. Add one line of text above it that says what the deadline is for, like "Early-bird pricing ends Friday at 5pm."

That text line also covers anyone who has images turned off, since they'll see the deadline in words even if the timer never loads.

After the deadline

This is the part most Gmail users forget. Someone will open your email a week from now. What should they see?
